SMPS EDUCARE – Complete Multi-Role School ERP & Management App

Project Overview

SMPS EDUCARE is a complete mobile-based School ERP and Management System developed to bring academic, administrative and communication workflows into a single digital platform.

The application was designed for real-world school operations where different users require completely different workflows and access levels. Instead of building a simple student application, the project was developed as a multi-role school management ecosystem supporting:

  • Student Login
  • Teacher Login
  • Admin Login
  • Computer Operator Login
  • Librarian Login

Each role receives its own modules, permissions and workflow based on the responsibilities of that user.

The goal was to create one application capable of handling the everyday digital operations of a school while keeping the experience simple, fast and role-specific.

The Challenge

School management involves many connected processes. Teachers need to assign homework and track whether students have viewed it. Administrators need control over users and permissions. Students and parents need quick access to academic information. Office staff need access to student records, fees and operational data.

Managing these workflows through separate systems creates duplication, communication gaps and unnecessary manual work.

The main challenge was therefore to create a single scalable application where multiple user types could securely access only the features relevant to them, while all modules remained connected to the same School ERP ecosystem.

The Solution

I developed SMPS EDUCARE as a feature-rich Flutter mobile application connected with a School ERP backend. The application provides centralized access to academic records, communication, student information, attendance, homework, examinations, fees, events and administrative controls.

The system uses role-based access and permission management, allowing administrators to dynamically control which modules and actions are available to students and teachers.

Multi-Role Authentication System

One of the core features of the application is its multi-role login architecture. The same application supports five different user types:

Student

Students can access their academic and school-related information, including homework, activities, notices, attendance, examinations, profile information, ID cards, fees and other enabled modules.

Teacher

Teachers receive dedicated tools for academic management, including creating and reviewing homework, managing student-related workflows, checking read status, attendance-related operations and other permission-based features.

Admin

Administrators have access to management and control features, including a dedicated permission dashboard for controlling student and teacher access to different modules.

Computer Operator

Computer operators can access operational and data-management functionality according to the permissions and responsibilities assigned by the school.

Librarian

The application also supports a dedicated librarian role for library-related school operations and role-specific workflows.

Dynamic Permission Management

A dedicated Admin Permission Dashboard was developed to provide centralized access control.

Administrators can manage Student and Teacher permissions independently. Individual features can be enabled or disabled, while bulk controls allow multiple permissions to be activated or deactivated together.

This permission-driven architecture makes the application flexible for different school requirements without requiring a separate application build for every change.

Homework Management System

The homework module is one of the major workflows of SMPS EDUCARE.

Teachers can create homework, select the required class and subject, enter detailed instructions and attach multiple documents. The system also supports scheduled homework, allowing content to be prepared in advance and published according to the required schedule.

Teachers can review previously assigned homework through a searchable interface with separate handling for daily and scheduled homework.

Homework Read Tracking

The system tracks whether students have viewed assigned homework. Teachers can see:

  • Total number of students
  • Number of students who have read the homework
  • Number of students who have not yet viewed it
  • Individual student-wise read status

This provides teachers with practical visibility instead of simply sending homework without knowing whether students have received or opened it.

Student Directory & Management

The Student Directory provides teachers and authorized users with a searchable view of student records.

From the directory, users can quickly access:

  • Student profile
  • Student ID card
  • Monthly attendance
  • Admission information
  • Class and section information
  • Contact actions

Search and status-based filtering make it easier to manage larger student datasets.

Student Profile

The application includes a structured student profile system with categorized information such as:

  • Personal information
  • Parent information
  • Address details
  • Student images
  • Admission details
  • Date of birth
  • Blood group
  • Contact information
  • Transport information
  • Other school records

The tab-based interface keeps detailed student data organized and easy to navigate on mobile devices.

Attendance Management

The application provides detailed attendance information with both summary and calendar-based views.

Users can view monthly attendance statistics including:

  • Present
  • Absent
  • Late
  • Holiday
  • Half Day
  • Other attendance statuses

The monthly calendar provides a visual day-by-day attendance overview, while summary cards and graphical information make attendance patterns easier to understand.

Student ID Card System

SMPS EDUCARE includes a digital Student ID Card module that generates and displays school-specific identity cards using live student information.

The ID card can include the student's photograph, admission number, class, date of birth, blood group, parent information, contact details, address, academic session and school branding.

An ID card verification workflow is also included to support validation before final approval.

Events & Document Management

The application includes an event management module where authorized users can create school events with:

  • Event title
  • Description
  • Event date
  • Supporting documents
  • Optional audio files

Users can view complete event details and access uploaded event resources directly from the application.

Academic & Communication Modules

The application integrates multiple school workflows within one platform, including:

  • Homework management
  • Attendance management
  • Student profiles
  • Student directory
  • Digital ID cards
  • Activities
  • Noticeboard
  • Messaging and communication
  • Examinations
  • Results and academic information
  • Fee-related modules
  • School events
  • Document management
  • Role-based permissions
  • Library-related workflows

Recent Login & Quick Account Switching

The application includes a Recent Login system designed for devices where multiple school profiles may be used.

Previously used profiles can be displayed for faster access, allowing users to quickly select an account instead of repeatedly entering credentials.

Password Recovery

A dedicated password recovery workflow allows users to initiate account recovery using their registered account information and OTP-based verification flow.

User Experience & Interface

The application was designed with a consistent mobile-first design system. The interface uses reusable cards, dashboards, status indicators, permission switches, searchable lists, filters, modal forms and responsive layouts.

The visual system maintains consistent branding throughout authentication screens, dashboards, student records, homework workflows, attendance screens and administrative modules.

Technical Architecture

The mobile application was developed using Flutter and Dart with GetX for state management, dependency management and navigation.

The application communicates with a School ERP backend through APIs and handles real-world data such as students, classes, sections, homework, attendance, permissions, academic sessions and other school records.

The project also integrates Firebase services for mobile application capabilities such as notifications and related communication workflows.

Key Technical Features

  • Multi-role authentication architecture
  • Role-based module access
  • Dynamic student and teacher permissions
  • REST API integration
  • GetX state management
  • Real-time UI state updates
  • Firebase integration
  • Push notification support
  • File and document upload
  • Multiple attachment handling
  • Search and filtering
  • Student-wise read tracking
  • Responsive mobile interface
  • Reusable UI components
  • Session-based academic data handling

Project Impact

SMPS EDUCARE brings multiple school operations into one connected digital ecosystem. Instead of using separate applications for students, teachers and administrators, the platform provides role-specific experiences within a unified application architecture.

The system improves access to information, reduces repetitive manual workflows, provides better visibility into academic activities and gives school administrators centralized control over application permissions.

My Role

I worked on the application architecture, Flutter development, UI/UX implementation, API integration, role-based workflows, permission management, data handling and integration with the existing School ERP ecosystem.

The project involved both technical development and the transformation of complex real-world school processes into practical mobile workflows.

Current Status

SMPS EDUCARE is an ongoing production project that continues to evolve with additional modules, workflow improvements, performance optimizations and new school management requirements.
